Job Summary:
Rakuten is seeking a sharp, driven, and highly organized Executive Assistant to provide executive and administrative support to the Chief Product Officer (CPO). This role extends beyond traditional executive support and functions as an operational extension of the CPO, helping drive executive cadence, communication clarity, and organizational alignment across the product organization. The ideal candidate combines exceptional executive support capabilities with strong analytical thinking, narrative synthesis skills, and the ability to leverage modern tools, including AI, to increase executive efficiency and visibility. Through proactive coordination and structured communication, this role will help ensure product leadership operates effectively and strategically.
In this role, you will directly contribute to the smooth operation of executive and administrative functions within the product organization. You will manage complex scheduling, coordinate leadership meetings, prepare executive briefings, and ensure decisions and follow-ups are documented and executed. Your attention to detail and proactive support will help maintain efficient workflows, improve executive visibility into product initiatives, and enable the CPO and product leadership team to focus on strategic priorities.
Key Responsibilities:
Acts as a specialist in managing executive administrative functions for the CPO, ensuring alignment with product organization goals and facilitating the smooth execution of leadership activities.
Directs coordination of product leadership meetings and executive operating cadence, including staff meetings, roadmap reviews, quarterly business reviews, and planning sessions.
Designs and manages executive meeting cadence, ensuring meetings are outcome-oriented with clear pre-read materials, agendas, and follow-up actions.
Supports quarterly and annual product planning coordination, helping maintain alignment between roadmap commitments, delivery progress, and executive messaging.
Develops actionable insights and lightweight dashboards to provide visibility into product initiatives, milestones, and operational progress.
Handles sensitive information and executive communications with discretion, ensuring professionalism and confidentiality in all interactions.
Coordinates with cross-functional stakeholders and external partners to maintain alignment and ensure seamless execution of leadership initiatives.
Provides guidance and support to team members on administrative and operational best practices.
Coaches and supports junior administrative staff where applicable, helping foster strong operational practices within the team.
Approves and maintains documentation, records, and executive materials to ensure accuracy and compliance with organizational standards.
Qualifications:

Communication Excellence: Demonstrated experience drafting executive-level communications or organizational updates.
Technical Proficiency: Strong analytical and structured thinking skills; (i.e. understanding product metrics and KPIs) as well as the ability to translate complex technical initiatives into clear business narratives.
AI Proficiency: Familiarity with AI tools and their application in administrative tasks is desirable. Candidates should be comfortable using AI for email management and data analysis.
Work Ethic and Attitude: High discretion, executive presence, and ability to operate independently in ambiguous environments.
Travel Coordination Expertise: Demonstrated experience in arranging and scheduling both international and domestic travel, including detailed itinerary planning and logistics management.
Attention to Detail: Meticulous attention to detail, coupled with the ability to meet tight deadlines, maintain efficient organizational practices, and switch gears swiftly as needed.
Minimum Requirements:
6+ years of progressive experience supporting C-level executives, ideally within product-led or technology organizations
Exceptional written communication and executive-level synthesis capability
Bachelor’s Degree required

Maintain high-level visibility into product roadmap milestones and major initiatives
Synthesize monthly product progress, strategic shifts, and key outcomes into structured, high-quality updates or prepare summaries for senior leadership reviews
Translate complex product initiatives into clear narratives suitable for cross-functional and leadership audiences

Individual compensation will vary based on job-related factors, including the skills, qualifications, and experience of the successful candidate as well as business need and geographic location. The successful applicant for this role will be eligible for discretionary bonus, health, vision, dental insurance, 401k matching, PTO, Volunteer Time Off (VTO), and other employee benefits as the company implements.
